Identity and contact details of the Data Controller<\/h3>\n\n\n\n<p>The University of Gloucestershire is registered with the Information Commissioner\u2019s Office as a Data Controller and is committed to protecting the rights of individuals in line with Data Protection legislation. <a href=\"https:\/\/ico.org.uk\/ESDWebPages\/Entry\/Z5286780\" target=\"_blank\" rel=\"noopener\">View a copy of this registration<\/a>.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">2. Contact details of the Data Protection Officer<\/h3>\n\n\n\n<p>The Data Protection Officer is responsible for advising the University and its subsidiaries (together referred to as \u2018University\u2019 within this document) on compliance with Data Protection legislation and monitoring its performance against it. What information do we collect about you?<\/h3>\n\n\n\n<p>The University may collect the following types of personal data about you:<br>a) Your name;<br>b) Your contact information such as address, email address and contact telephone number;<br>c) Links to social media accounts;<br>d) Details of your engagement;<br>e) If you are a VAT registered business, your VAT number;<br>f) If you are an incorporated company, your registration number;<br>g) Details of any special requirements\/needs of event attendees such as disability access and dietary requirements;<br>h) Communication preferences.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">4. How will your information be used?<\/h3>\n\n\n\n<p>The personal data that the University hold may be used for:<br>a) Contacting you in connection with an upcoming event;<br>b) Contacting you in respect of establishing or managing a contract between the University and its customers;<br>c) Operationally to deliver your booking requirements to facilitate delivery of services;<br>d) Taking into consideration any special requirements\/needs to ensure reasonable adjustments are made to facilitate delivery of services;<br>e) To create temporary delegate accounts to be able to use the University AV system;<br>f) Fulfilling the University\u2019s duty of care in respect of those under 18 years old;<br>g) We may take limited data regarding delegates to fulfil your booking.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">5. What is our lawful basis for processing your personal data?<\/h3>\n\n\n\n<p>We may process your data as it is necessary for the performance of the University\u2019s commercial activities management functions and tasks.<\/p>\n\n\n\n<p>The lawful basis for processing data set out in Article 6 of the GDPR. Data is processed on the basis of:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Article 6(1)(a) \u2013 contract<\/li>\n\n\n\n<li class=\"\">Article 6(1)(f) \u2013 legitimate interests<\/li>\n<\/ul>\n\n\n\n<p>On occasion, we may also need to process special category data such as health data or dietary requirements. If this is the case, this data is processed on the basis of:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Article 9(2)(a) \u2013 explicit consent<\/li>\n<\/ul>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">6. Who your personal information is shared with?<\/h3>\n\n\n\n<p>Your personal data will only be shared internally within the University <s>if<\/s> as required to fulfil your booking.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">7. Transfers to third countries and safeguards in place<\/h3>\n\n\n\n<p>Personal data will not be transmitted to third countries unless the transmission relates to contacting you in a third country.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">8. How long will your information be held?<\/h3>\n\n\n\n<p>If you made an enquiry with us we will keep data for 24 months.<\/p>\n\n\n\n<p>If you placed a booking with us, we will keep your data for financial regularity reasons. If there is no ongoing activity with us within six years your data will be deleted.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">9. What are your rights?<\/h3>\n\n\n\n<p>Under Data Protection Legislation you have the following rights:<\/p>\n\n\n\n<p>\u2022 to request access to, and copies of, the personal data that we hold about you;<br>\u2022 to request that we cease processing your personal data;<br>\u2022 to request that we do not send you any marketing communications;<br>\u2022 to request us to correct the personal data we hold about you if it is incorrect;<br>\u2022 to request that we erase your personal data;<br>\u2022 to request that we restrict our data processing activities (and, where our processing is based on your consent, you may withdraw that consent, without affecting the lawfulness of our processing based on consent before its withdrawal);<br>\u2022 to receive from us the personal data you have provided to us, in a reasonable format specified by you, to another data controller;<br>\u2022 to object, on grounds relating to your particular situation, to any of our particular processing activities where you feel this has a disproportionate impact on your rights and freedoms.<\/p>\n\n\n\n<p>Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply.<\/p>\n\n\n\n<p>Any requests or objections should be made in writing to the University\u2019s Data Protection Officer, contact details are in Section 2 of this Privacy Notice.<\/p>\n\n\n\n<h3 class=\"heading wp-block-heading is-4 is-4--mobile\">10. How to make a complaint<\/h3>\n\n\n\n<p>If you have queries, concerns or wish to raise a complaint regarding the way in which your personal data has been processed you should contact the Data Protection Officer in the first instance, using the contact details under Section 2 above. <\/p>\n\n\n\n<p>If you still remain dissatisfied, then you have the right to apply directly to the Information Commissioner\u2019s Office (ICO) for a decision.
