Moving to a new country can be both thrilling and challenging, and we’re here to make your transition as smooth as possible. Whether you’re preparing for your journey, arriving in the UK for the first time, or getting ready to complete your enrolment, this information will guide you through each step of the process.

It is designed to help you feel prepared, confident and ready to settle into life in Gloucestershire.


Enrolment guide for international students

Enrolment is the process that officially registers you as a University of Gloucestershire student. Some steps can be completed before you travel to the UK, while others can only be completed after you arrive.

Before you travel to the UK

Step 1: Set up your University network account

Your University network account gives you access to the University’s online systems and services, including:

All University accounts require Multi-Factor Authentication (MFA) and registration for Password Self-Service (PWSS). MFA provides an additional layer of protection for your University account.

Step 2: Access MyGlos and check your induction information

MyGlos is the University’s student portal and app.

It provides access to:

Within the induction area, look for the International Students section. This contains information specifically for students arriving from overseas, including international induction information.

You should check MyGlos regularly before and after arriving in the UK.


Step 3: Apply for your Student Card

You will need a University of Gloucestershire Student Card.

Your card:

To allow your card to be produced, upload a suitable photograph as early as possible.

Depending on when you upload your photograph, your Student Card may either be posted to you or made available for collection during induction. For international students arriving from overseas, you should upload your photograph before travelling wherever possible so that your card can be prepared promptly.


Step 4: Get ready for online enrolment

We will email you when online enrolment opens.

You cannot enrol until you receive this notification, so keep checking the email account you have provided to the University.

Enrolment is completed through:

During enrolment you will be asked to confirm that your personal information is correct and provide information including:

Please note, if you will be studying an undergraduate or postgraduate taught programme (including the first year of Professional Masters by Research programmes), you are required to secure accommodation in the Cheltenham or Gloucester areas, or at the very least within a reasonable, commutable distance, no more than one hour away from your home campus. You will not be able to complete your enrolment if your address does not meet these criteria. Similarly, if the location of your chosen accommodation negatively impacts your ability to meet the university’s attendance requirements, your visa sponsorship may be withdrawn.

You will be asked to provide details of someone the University can contact in an emergency, for example if you become seriously ill or where action is required to protect your vital interests.

You should tell this person that:

If you have not yet registered with a UK doctor when you first start enrolment, update your student record once you have done so.


Step 5: Pay the tuition fees required for enrolment

International students must have paid the required amount towards their tuition fees before enrolment can be completed.

You will normally need to have paid at least 40% of your remaining tuition fee balance, after your Advance Tuition Fee payment and any applicable scholarship, bursary or grant have been deducted.

Example

If your tuition fee is £17,000, and you have:

– Paid a £4,000 Advance Tuition Fee, and

– Received a £1,500 scholarship

Your remaining tuition fee balance is:

£17,000 − £4,000 − £1,500 = £11,500

40% of £11,500 is = £4,600

You would therefore need to have paid an additional £4,600 before enrolment.

Do not bring tuition fees to the UK in cash

The University does not accept cash payments for tuition fees. Do not travel to the UK carrying your tuition fees in cash.

Payments should be made using one of the University’s authorised payment methods and early enough for the payment to clear before your enrolment deadline.

International students can be targeted by fraudsters offering unofficial discounts or alternative ways to pay University fees.

When you arrive in the UK

Step 6: Arrive before your induction starts

You should plan to arrive in the UK before your course induction begins.

Your CAS includes a ‘Latest date a student can be accepted on to the course’ – this is your final enrolment deadline. You should not plan to arrive on this date.

Allow enough time before your induction to:

If you do not arrive and enrol by the deadline shown on your CAS, you may not be permitted to start your course and the University may withdraw your Student visa sponsorship.


Step 7: Complete your Right to Study immigration check

Before an international student can fully enrol, the University must check that they have immigration permission allowing them to study in the UK.

For most students, this will be checked using your eVisa.

Once you have arrived in the UK, generate an immigration status ‘Right to Study’ share code.

Generate your share code

  1. Access the Home Office eVisas: access and use your online immigration status webpage
  2. Click on the green ‘View your eVisa and get a share code’ button
  3. Follow the steps to sign in to your UKVI account
  4. Follow the instructions to view your immigration status
  5. When asked why you need to share your immigration status, select ‘To prove my immigration status for anything else’.
  6. Generate your share code.

Your share code should begin with the letter S.

Do not generate a Right to Work share code (starts with a W) or Right to Rent share code (starts with a R), as these cannot be used for your University Right to Study check.


Step 8: Submit your immigration information

Send your share code to the University using our Immigration Status Share Codes form.

You will also need to provide evidence showing when you entered the UK. Please use the form rather than emailing your share code or immigration documents directly to us.

Once our International Student Services team has checked your immigration status and arrival information, the immigration restriction on your student record can be removed. Please allow 48 hours for this to be process to be completed.

Check your eVisa

When you view your eVisa, check that the information displayed is correct.

Step 9: Complete online enrolment

Once you have met the relevant requirements, return to:

Student Records Online

Complete every stage of the enrolment process.

You may be unable to finish enrolment while something remains outstanding, such as:

Starting enrolment does not mean that you are fully enrolled. Make sure Student Records Online confirms that you have completed all the required stages. When successfully completed, you will get a message in the Enrolment tab of Student Records Online identifying ‘Congratulations. You are enrolled’, and you will be able to download an enrolment confirmation letter.


Step 10: Attend your in-person attendance check

Your attendance will be verified by a member of University staff on your first day. This will normally take place during one of your scheduled induction sessions.

It is therefore important that you:

Step 11: Check that you are fully enrolled

Once the University’s required checks have been completed and you have finished the online enrolment process, your student status can be confirmed.

If your Student Card has not been posted to you, it will be available for collection. Collection arrangements will normally be provided through MyGlos or during your induction.

Remember to carry your Student Card while on University premises.


Step 13: Attend your induction

Your induction is an important part of starting University. It will introduce you to:
