You’ll be able to access your award documents as digital documents through the University’s new secure Digital Documents Portal.
You will receive an email from [email protected] when your documents have been published inviting you to register on the portal. Please don’t register before you receive your email. You will still also receive a printed copy of your award certificate.
The portal will allow you to view digital versions of your award documents. You will also be able to share your e-documents with third parties through the connections feature to verify your awards. Third parties will be charged a connection fee. You will be able to access the following documents through the portal:
Your e-documents can also be verified via a QR code visible on the e-document.
You can access your digital certificate and transcript for free once they have been published. You can share these with a third party, and the third party will be charged a connection fee of £14.
Your first copy of your certificate will be issued to your home address for free. Any further printed documents will be chargeable. If you lose your original documents you can purchase replacement hard copy documents, you’ll need to order these through our Digital Documents Portal for a fee. Please note: This will in turn make the lost documents unverifiable.

If you cannot provide all this information, this will delay access to the system, as we’ll need to check and approve your registration. Which may take up to 3 working days. Enter the details that you recall, and we’ll be notified to run a check on the data. We may have to contact you for further information to ensure that we are granting access to the correct person.
We recommend you use a personal email address that you are likely to keep for a long period of time. You will need access to the email address if you forget your password and need to reset it.
Please do not use your university email address, as this will be closed after course completion.
Please check your email’s spam or junk folders, as your email provider may have redirected the message if it did not recognise the sender as safe. If you do not find the confirmation email in those folders, please contact [email protected]. Be sure to include your name, date of birth, and student ID number (if known) in your message.
During the registration process, your information is compared with the data the University has on file for you. If any part of the information does not match, your account registration will need to be reviewed and approved by the University. This review process could take up to 3 working days, especially during busy periods. Once your account is approved, you’ll be able to log in using your email address and the password you created.
While you can’t download or print your e-certificate, you can easily view it anytime through the University of Gloucestershire Digital Documents Portal and share it with a third party.
If you print the screen version, please keep in mind that it won’t be verified and would not pass the verification process. To ensure you have a valid copy, you can use the QR code. This will help you confirm the authenticity of your e-copy and any printed versions issued by the University. The QR code will match the details on the certificate to the details in our records system.
A printed copy of your award certificate will be posted to your registered ‘Home Address’ with the University. Please note that any address you register with on the Portal will not override this and you will need to update your home address via the Student records online system within 3 days of receiving your award confirmation email.
Yes – you can create a Connection with third parties (employers, universities etc) giving permission for them to log in and view your qualification to verify its authenticity.

You will be asked how long you wish to allow access for. We recommend setting up a connection for a month or less. After this date, third parties will no longer be able to access your information.
The third party will be charged a £14 connection fee to view one or all of your documents (some organisations such as the NHS and other Universities are exempt from this). You will be able to remove the connection at any time.
There are several ways to verify the authenticity of your qualifications to a genuine third party:
Letter of Verification: This includes details like your qualification, course start and end dates, mode of study, delivery location, and language of assessment. Cost: Digital copies or printed copies cost £15 plus postage.
SmartVerify+ QR Code: You can scan the SmartVerify+ QR code on your award documents with a mobile device to confirm their authenticity.
Third party connection: Allow third parties to log in and view your qualifications for verification via the Digital Documents Portal. For more information on how to do this, read the above question “Can I give employers/others access to verify my award on the Digital Documents Portal?”.
Orders for printed letters will be processed on the first and third Thursday of the month.
We accept Visa, Visa Debit, Mastercard and American Express payments.
Refunds will only normally be given if an order has not been processed, please email [email protected] as soon as possible with your full name, student ID and order number (found in your confirmation email) and the reason you are requesting a refund.
Please make sure the subject of your email is: URGENT Refund for Digital document required.
Please remember to update it in the Digital Documents Portal before you close your old email.
